Booking Terms and Conditions
The following Terms and Conditions apply to all bookings made on this website, by any third party Online Travel Agencies, by telephone or in person. We kindly ask that you take a moment to read them prior to making a booking.
Bookings
Rooms are subject to availability and the Company reserves the right to refuse any booking without reason. We reserve the right to take full payment in advance or a deposit at the time of booking in certain circumstances. You will be asked to provide a credit or debit card at the time of the booking to secure your reservation. By booking you are authorising the debiting of the card provided. Any booking made is on a request basis and is not valid until confirmed by us. The number of pax as confirmed at the time of booking will be the maximum number of guests (including children) we can occupy as part of your reservation; any additional guests over the maximum may not be accommodated on arrival.
Special offers – Superior Sundays
Special offers are subject to availability, not available on bank holidays or during school holidays. Sunday Carvery is included with the Superior Sunday offer, Carvery is only available on Sundays and served between 12pm and 3pm this can be taken before check in on a Sunday, cannot be exchanged for dinner. Max 5 rooms can be reserved on a Superior Sunday offer at one time.
Consecutive nights can be reserved at the normal rate when booking a Superior Sunday offer. Package price based on 2 people sharing Superior Lodge room, single occupancy rates available.
Dogs
We welcome dogs at The Waterloo Hotel. We have dedicated pet friendly lodge rooms available where a maximum of 2 dogs per room can be reserved, dogs will be charged at a rate of £12.50 per dog per night and can only be accepted by prior arrangement with the hotel (with the exemption of service dogs).
Dogs are permitted in the dedicated area in Bar1815 within the main building and must be kept on a lead at all times. We request that guests do not leave their pet(s) unattended.
Dog waste must be disposed in the general waste bins at the back of the hotel.
Charges
The prices displayed on the website are indicative of rates applicable to your stay. Meals, extras or service are included only if specified. A minimum length of stay, deposit, cancellation charge and other conditions may apply to certain rates, as specified. All accommodation rates are non-commissionable unless agreed in writing by the Hotel.
Any VAT breakdown shown is indicative based on the current rate of VAT, and the expected VAT treatment of the goods or services, and may change depending on the actual tax point of the invoice, and the VAT treatment of the goods and services purchased at that date.
Price lists for additional items, such as Restaurant meals and Room Service, are on display at relevant locations within the Hotel and are available on request. Tray charges for room service apply at £4.00 per order.
Damages
The hotel reserves the right to charge a fee for damages to any hotel property, any additional cleaning fees will be charged at £75 as deemed necessary by the hotel using the credit/debit card provided at the time of booking.
Final Payment
The Guest must pay all outstanding charges on arrival or departure from the Hotel.
Cancellation/Non-Arrival
Should you wish to cancel your room, please do so by 10am two days prior to arrival as we operate a 48hr cancellation policy on non-group bookings. Non arrival or late cancellation will result in a charge covering the first nights’ accommodation, subsequent nights will be released.
Change of Booking Details
Reservations may be amended in line with the booking conditions accepted at the time of the original reservation/s. Changes may be made subject to those conditions and any deposit / prepayment held is subject to those booking terms at the time of the original reservation.
Where the booking permits, any change to the arrival date, departure date or room type is subject to availability at the time the change is requested and may result in a possible rate change.
Arrival and Departure
Guests may check-in at any time from 3.00p.m. on the day of arrival. On the day of departure we kindly ask all guests to vacate their rooms by 10.30am (unless a later departure is stated as part of your booking). Late check-out after this time can be requested subject to availability and will be charged at an hourly rate at the discretion of the hotel.
Parking
Parking charges do not apply to hotel guests. Your car registration will be requested as part of the check in process
Lost Property
We will retain property left at the Hotel for maximum of 12 weeks & liaise regarding return postage fees or collection with you. Any postage fees must be settled before items are shipped using Royal Mail; we cannot return items over 2kg in weight. If any property remains unclaimed, after 12 weeks the items will be donated to charity.
Any cosmetic items or undergarments will be disposed of immediately and not retained for any period of time.
Hotel Events
Please be aware that at certain times throughout the year some of the hotel may host weddings, events and parties, which you may feel would be an intrusion on your break. Please contact the hotel directly in advance of your stay for further information.
Force Majeure
The Company shall not be in breach of this agreement if it does not provide the services under this agreement due to the following circumstances:
- Industrial action by the company’s employees
- Industrial action by the staff of one of the company’s suppliers
- Fire, lighting, explosion, riot, civil commotion, malicious damage, extreme weather conditions, storm, flood, burst pipes, earthquake , terrorism and the Hotel being damaged or destroyed.
- Acts of Government
- Postal bookings which do not reach the company
- Breakdown of machinery, or any failure to supply the Hotel with gas, electricity, water and so on, outside the control of the company.
- Epidemic/Pandemic.
- Covid19: All bookings are subject to Welsh Government Regulations which apply to our geographical area at the appropriate time. Any guests or future guests must comply with the travel restrictions applicable to their permanent residence.
If any of the above occurs the company will do its best to avoid any inconvenience to you or your guests. The company is not liable to any loss or consequential loss whatsoever as a result of any breach under this condition.
Leisure Terms and Conditions
Children under the age of 16 must be accompanied at all times within the leisure complex by a parent or guardian. (A guardian must be responsible person of no less than 16 years of age)
GYM
- Children younger than 12 years of age are not permitted to enter or use the fitness suite.
- Children between 12 and 15 years old may use Cardio-vascular gym equipment (X Trainer, Running machines, Bikes, Rowing machines) only and must be accompanied by a parent or guardian.
- There are no fitness advisors/mentors on duty. Gym users agree to abide by leisure complex rules and use gym equipment at their own risk.
- If you would like to be shown gym equipment please ask a member of staff for assistance.
- If you notice any hazards or have any concerns about equipment please report them to a staff member.
POOL AREA
- Children under 16 years of age may only use the swimming pool if accompanied by a parent or guardian. (A guardian must be a responsible person of no less than 16 years of age) parents/guardians must understand that supervision of minors is not provided within the leisure complex.
- No more than 2 children under the age of 8 years old per parent/guardian allowed in the pool area.
- Children 8-15 years old – should be supervised by a parent/guardian aged 16 or over at all times in a ratio no more than 1-3.
- Children under 8 years old are not permitted at any time into the Jacuzzi, sauna & steam room. Children 8-15 must be accompanied by an adult at all times. Clear instructions are illustrated on the wall outside each room as a safety guide. Please take the time to read the rules prior to entry.
- There are no life guards on duty, swimmers agree to abide by the Leisure Complex rules and enter the swimming pool and Jacuzzi at their own risk.

Loyalty Scheme Terms & Conditions
- Membership is free of charge, not transferrable and the discount in non cumulative.
- Customers must be over 18 to participate.
- A full name and email address is required to participate in the loyalty scheme.
- Only one loyalty card is allowed per room, loyalty cards cannot be transferred for stamps, vouchers or cash. Loyalty cards are only available for individuals for personal use, therefore cannot be used in conjunction with functions/weddings/large events or group bookings etc.
- The Waterloo Hotel reserves the right to change programme benefits and/or membership levels at any time.
- Employees of the company are not eligible to participate.
- It is the members responsibility to update us regarding any changes to their personal details.
- The company reserves the right to refuse membership, cancel or amend the membership at any time. If we terminate your membership, it will be immediately cancelled, and no cash payments or other compensation will be provided in lieu of unredeemed stamps.
- Loyalty cards can only be used for stays at the Waterloo Hotel, Betws-Y-Coed, LL240AR. This membership is not valid for use in any other establishments.

By agreeing to these terms, you consent to your personal data (which includes your name, email address and any other personal information you provide, or that is generated about you in connection with your membership to the Waterloo Hotel member loyalty) being processed in accordance with the privacy policy as stated on our website.
How the scheme works:
- One stamp is collected per stay (not per person) regardless of number of room nights.
- For every 5 stamps collected receive 50% off a 1 night stay on your 6th visit for up to a maximum of 2 people.
- The 50% discount applies to Bed & Breakfast and Room Only tariffs only. Dinner, bed & breakfast rates excluded.
- To be eligible for the discount bookings must be made by contacting us directly on 01690 710411 or made via the hotel website: www.waterloo-hotel.info
- Any bookings made through 3rd party agencies and not directly with the hotel as described above will not be eligible for the discount or stamp.
- The loyalty card discount cannot be claimed in conjunction with any other offer or discount (such as dinner, bed & breakfast tariffs etc.)
- Stamps will only be issued at check out.
- A stamp is not collected on your discounted stay and will resume on your next visit.
Losing your Membership Loyalty Card:
- If you lose your member loyalty card, simply inform a member of the reception team and they will issue a new card, any stamps accrued on the lost card will not be transferred to the newly issued card.
Cancelling your Membership:
- If you decide to cancel your membership, you can do so at any time by handing in your card to reception. We will dispose of your loyalty card. To unsubscribe from our emails please follow the unsubscribe link on your most recent email from us.
